How to create and send an invoice

Common mistakes

Reusing the same invoice number

Duplicated numbers are the fastest way to have an invoice rejected or paid twice. Keep one sequence per business, never reset it mid-year, and never renumber an invoice you have already sent.

Leaving out the due date

An invoice with no date to pay by has no late payment. State the due date explicitly rather than relying on an assumed thirty days.

Describing the work in one word

Consulting for the amount owed invites questions from whoever approves it. Itemise deliverables, dates or hours so the invoice can be checked against what was agreed.

Guessing the tax treatment

Tax rate, exemptions, reverse charge and cross-border rules depend on where both parties are. The generator applies the percentage you enter — deciding the right one is a question for your accountant.

What has to be on an invoice?

In practice: the word invoice, a unique number, the issue date, your business name and contact details, the client’s details, an itemised description of what is being charged, the amounts, any tax, the total due, the due date and how to pay. Some countries add mandatory identifiers such as a tax or company registration number.

Where is the PDF generated?

In your browser. The document is assembled locally with a PDF library, so the client names, rates and amounts on the invoice are not uploaded to build the file.

Can I edit the invoice after generating it?

Which currencies are supported?

How does the tax field work?

You enter a percentage and it is applied to the line-item subtotal, with the tax amount shown as its own row before the total. It applies one rate to the whole invoice — mixed rates on different lines need a proper invoicing or accounting product.

Can I use it for an Australian tax invoice?

Use the Australian tax invoice generator instead. A compliant AU tax invoice needs specific handling for ABN and GST that the general invoice does not provide.

Does it track whether the invoice was paid?

No. This produces the document. Recording payments, sending reminders and reconciling with your bank are bookkeeping jobs — if you need those, invoice from an accounting product and use this for one-offs.

How do I get paid faster?

Invoice the day the work is accepted, state a specific due date rather than net terms, put the payment details on the invoice itself, itemise the work so nothing has to be queried, and send it to the person who actually processes payments rather than only to your day-to-day contact.
